# RosterSafe

Canonical: https://www.softwareadvice.co.uk/software/690631/RosterSafe

> A provider whose license, DEA registration or payer enrollment lapses stops
being billable that day, and getting them back can take 90 to 120 days. For a
medical billing firm that is your client's revenue, and it is your relationship
with that client that absorbs the damage.

Most firms track this in a spreadsheet. A spreadsheet holds the dates perfectly
well. What it never does is tell you it has failed: nobody gets a warning when a
row goes stale, a tab is out of date, or the one person who maintained it is on
leave.

RosterSafe is built for the firm that credentials on behalf of others rather
than for a single organization. Every provider, across every client practice you
serve, sits in one roster ordered by what expires first rather than
alphabetically, so the work is already prioritized when you open it.

What it tracks

Eight credential types: state license, DEA registration, CAQH attestation,
malpractice cover, board certification, CPR, CME, and a custom type for whatever
else your firm follows. Payer enrollment moves through five statuses, from not
enrolled to in progress, approved, expiring and termed, and moves that do not
make sense are refused by the server rather than hidden in the interface.
Documents go into a vault with six types, version history that keeps the old
file, and a missing-document checklist. Expiry is read off the upload.

How it warns you

You set the alert windows, between one and ten per credential, anywhere from 1
to 365 days out. Each window fires once per expiry date, so reconfiguring them
never re-sends warnings that already went. The final window repeats daily,
alerts escalate to the owner, and a lapse cannot be silenced. Deadlines are
counted on your firm's own calendar rather than UTC, which matters when your
coordinators and your clients sit in different time zones.

Screening

The whole roster is re-screened every day against the OIG List of Excluded
Individuals and Entities, SAM.gov, and state Medicaid exclusion lists. Only
genuinely new hits raise an alert, so a match you have already looked at and
dispositioned does not page anyone again. Matching is deliberately conservative
and resolved by a person, because a possible exclusion and an exclusion are
different facts.

What you can show a client

Three report kinds: client health, compliance readiness for an audit, and a
value recap computed from your own lapse history. All render to CSV or to a PDF
carrying your firm's logo and colors, and can be scheduled weekly or monthly.
Client staff can be given read-only access pinned to their own practice, so they
see their roster and nothing else.

What it is not

RosterSafe is software, not a credentialing service. It does not fill in payer
portals, make calls, or perform automated primary source verification. If you
want the work done for you rather than tracked, an outsourced credentialing
service is the right purchase.

Pricing is published: free on 1 provider with no card, then $25 per active
provider per month with a $100 monthly minimum. Annual bills at 10 times the
monthly rate rather than 12. No contract and no sales call.

## About the vendor

- **Company**: RosterSafe

## Commercial Context

- **Starting Price**: US$25.00
- **Pricing model**: Per User (Free version available)
- **Pricing Details**: RosterSafe has one published rate and no sales call.

Free: $0 forever, for 1 provider and up to 3 team members. No card, and no
trial clock. It is a test drive rather than a smaller product, so you can watch
real alerts fire against a real provider before you decide anything.

Billing Firm: $25 per active provider per month, with a $100 per month minimum.
The minimum is set as a quantity of 4 providers, so the smallest paid bill is
$100. Above 4 providers the floor stops mattering and you pay $25 per active
provider, up to 1,000.

Annual is billed at 10 times the monthly rate rather than 12, so two months are
free. That works out at $250 per provider per year, with a $1,000 per year
floor. The per-provider rate and the feature set are identical either way.

A worked example: a firm tracking 20 providers pays $500 per month, or $5,000
per year on annual billing.

What counts as an active provider is one on your roster that RosterSafe is
tracking deadlines for. The count is reconciled against your roster nightly, so
you are billed on your actual book rather than on seats you bought once and
forgot.

Adding a provider mid-period is charged prorated for the days you use. Removing
one does not produce a refund and does not lower the bill mid-period. The slot
stays paid until the period ends, so you can move a different provider into it
at no extra cost, and the reduction is applied at your next renewal.

Both plans run the same product. Six things differ: active providers (1 against
up to 1,000), team members (3 against up to 100), history retained (12 months
against 120), alert delivery (in-app and email, with push added on paid),
analytics screens, and the activity and audit log. Everything else is on both,
including deadline tracking with alert windows you configure, client practices
and the rollup across them, payer enrollment tracking, the CAQH re-attestation
clock, OIG-LEIE and SAM.gov exclusion screening, the document vault with version
history and provider upload links, reports and branded PDF exports, the owner,
credentialer and read-only client roles, and two-factor authentication with
session control and an IP allowlist.

No contract and no annual lock-in on the monthly plan. You can sign up, import a
roster and pay by card without speaking to anyone, and you can cancel yourself
without emailing support.
