ProcessCollector is built for the person who owns that problem: the quality manager, the process owner, the operations lead in a company of 25 to a few hundred employees. Usually someone who is responsible for process documentation alongside their actual job, who has an audit coming up, and who does not have six months or a consulting budget for a classic BPM project.

How it works

You start with what you already have. Upload an existing SOP, work instruction or manual as PDF or Word, and the AI proposes a complete process in about a minute: the steps, the roles involved, the systems and resources used, the requirements that apply. You review the proposal and confirm it - nothing is created in your system until you do.

The result is more than a flowchart. Every process is linked to the departments, roles, locations and resources it touches, so you end up with one connected model of how your organization actually works. Full-text search makes that knowledge findable for everyone, and an open REST API exposes processes, BPMN models and organizational data - the same endpoints your own AI tools can use.

When you want to improve a process rather than just document it, the AI Expert reviews it on request and comes back with concrete suggestions: where the flow has a gap, where a control point is missing, what a quick win would be. You decide what to apply. Changes run through an approval step with a change note and named approvers, so your documentation stays audit-ready as it evolves.

Who it is not for

We would rather tell you upfront. ProcessCollector is not a process mining tool - it does not reconstruct processes from ERP event logs. It is not a document management system; documents are linked to processes, but they stay where they live, for example in SharePoint. And if you need deep BPMN rigour, formal modelling standards or process simulation, a classic BPM suite will serve you better. Our customers typically choose us for the opposite reason: they want to be productive in days, without notation training.

Getting started and support

The free trial runs 14 days on the full feature set, with no credit card. You choose a plan and payment method at the end, not at the start.

A built-in academy walks you through the product in seven lessons and 34 short steps - from your first process to keeping the model current - so you can onboard your team without scheduling training. Support comes directly from our team by email during business hours, in German or English. The product interface is available in both languages.

Pricing starts at EUR 7.95 per user per month on an annual plan, in packages of 25 users. Every user needs a licence; what differs is the role. Explorer licences are read-only, so you control who can change a process and who can only look one up - in practice a handful of people maintain the processes while many more read them.

Security and data

Your process data is hosted in the EU (AWS Frankfurt, Germany) and never used to train AI models. aiio is certified to ISO/IEC 27001. The data processing agreement, technical and organisational measures, and the current subprocessor list are published openly rather than sent on request. Sign-in and single sign-on run through Clerk with multi-factor authentication, and Microsoft Entra ID is supported.
