# Pay Application Generator

Canonical: https://www.softwareadvice.co.uk/software/566120/Pay-Application-Generator

> Pay Application Generator is a free, web-based tool for creating construction applications for payment — the G702/G703-style pay app package a contractor submits to request a progress payment on a fixed-price contract.

It is built for contractors who produce that document every month with no construction ERP behind them: subcontractors, specialty trades, and small to midsize general contractors whose accounting runs in QuickBooks and whose pay apps live in an inherited spreadsheet.

How It Works: Enter your contract sum and schedule of values — typed in, or imported from a spreadsheet you already keep. Record how much of each line item was completed in this billing period, as a dollar amount or a percentage. Add materials stored on site and any approved change orders. Download the finished package.

Every download is complete: a cover application carrying the summary lines and the certification block, plus an itemized continuation sheet listing every schedule-of-values line with scheduled value, work completed previously and this period, stored materials, percent complete, balance to finish, and retainage.

What Is Calculated For You:
- Retainage on completed work and on stored materials, at your contract's separate rates
- Total completed and stored to date, per line item and for the contract as a whole
- Percent complete and balance to finish on every line
- Net change orders and the resulting adjusted contract sum
- Amounts from previous applications, deducted automatically
- Current payment due — the figure your customer certifies

The Monthly Roll Forward: Pay applications are a chain, not one-off documents — each has to reconcile against the last. That is where spreadsheet billing breaks down, and why applications get rejected.

Here the roll-forward is one click. This period's amounts move into the previous-applications column, the amount due becomes a previous certificate, the application number increments, and the next period opens exactly where the last one closed — with no retyping and no chance of the columns drifting out of agreement.

Two Ways to Fill Out: A guided mode asks one question at a time, for anyone producing their first pay application. A standard mode is a spreadsheet-style grid that calculates as you type, for people who know the form and want to move quickly. Both produce the same document.

Output and Integrations: Applications download as a print-ready PDF or as an Excel workbook, and export to QuickBooks, Xero, and Sage Intacct.

Pricing: Free. No account is required, there is no limit on the number of documents, and working data stays in your browser.
