Tax Specific Software Flexible for the Modern Day Firm

I got into TaxDome the end of 2020/2021. My company was getting to a point where our old systems weren't going to enable us to scale, so we were looking for a more inclusive option. I came across TaxDome from someone who had a course on making tax season easier, and when she shared the Workflows and Pipelines, I was sold. TaxDome has been the backbone of our tax season for the past few years.

Pros

I love most the customizability of TaxDome and that it is Tax Specific based portal software with space to add in Advisory.

Cons

They've gotten pretty big, so I feel less connected to their team.

TaxDome Review

2025 will be our 5th tax season using TaxDome. The first couple of years, we just used it for contact info, the client portal and e-signatures, with limited use of the workflows. Last year was the first year we started automating some of the processes, and making full use of the workflows. Still don't have full commitment of all of the members of our company.

Pros

I like that I have all the client information in one place, and have access to it from the app. This way client contact information travels with me. I also like the automation of information that goes out to the client, to keep the updated on the progress of their return.

Cons

Learning curve can be a little steep, especially with setting up the workflows, and understanding how workflows, tasks, and jobs are related. Costs could be an issue with large firms.

Useful App

When the software works, it's great. There's a steep learning curve, but it has a lot of great features which help efficiency and automation.

Pros

We like using the pipelines - they really help automate the process and allow us not to miss deadlines/tasks. Firm templates are very good too. Lots of workarounds so many different ways of doing things which is a good back up for when there are glitches.

Cons

1. There should be filters for templates.
2. There are too many glitches which we don't know about. Since we don't know about them, we can't mitigate them. It impacts are performance vis a vis our clients and creates huge inefficiencies.

Best Virtual Accounting Firm CRM

It has been a great experience. It was challenging at first and I still don't 100% understand how to do certain things with pipelines (maybe I need it to do something that isn't possible). Overall, I'm very pleased.

Pros

I've been using TaxDome since 2021 (4 tax seasons). I didn't fully utilize all of the features during my first 2 years, and I still have more pipelines to set up, however, I have still been very pleased. This software can do as much or as little as you need based on your firm needs. I especially love that I can lock documents until the invoice is paid. This feature was a lifesaver! TaxDome is also continuously adding new features and improving on the old ones. I highly recommend TaxDome, especially if you are a virtual firm or hoping to move in that direction.

Cons

I would love to have automated replies when I'm out of the office. I would love a white label app (which I think is in the works). I'd also like to be able to offer more payment options. I invoice all tax returns through TaxDome, but everything else is invoiced through QBO because fees are somewhat less. Syncing my TaxDome to my QBO created a mess. I'd be afraid to attempt that again, but I'd possibly consider it if it was more seamless.

Best Employee Ever

I enjoy TD a ton. It has been easy to get my clients to adopt overall and has saved me time enough to put off hiring additional help.

Pros

I like that everything is so centralized. Keeping the client stuff in all one place and being able to see everything at a high level and also more granular helps keep the work managed well.

Cons

I wish we had the ability to connect to more than just QB as an accounting software. Also I wish we could have more ability to use additional filtering in automations.

Great, Professional CRM (and lots more) which replaces a lot of other tools

It was a rough start in 2020 when we started using it. It has improved in many ways, and we have learned to navigate and integrate it in many ways, Overall 95% of are clients interact with us using TaxDome and about half use the mobile app.

Pros

Replaces many tools (document sharing, email, e-signature, payments, etc.) into one place. White labeling, Ability to send multiple clients the same email with short names at one time.

Cons

Lack of customization (colors, client interface, etc.). E-mails go out showing the name.taxdome.com rather than the custom domain. Inability to create a direct from home screen login, no option to require clients to use 2-FA.

Docusign was mor eof an esignature and payment portal only. Did not provide near as many features.

TaxDome Excellent Software no matter the size of your organization

My overall experience with TaxDome has been quite positive. While I only use a very small fraction of the capabilities of the program, I am quite happy with the functions I do use.

Pros

Makes running a small practice more efficient without a huge price tag

Cons

The invoicing module is sub-par, very limited in what you can do, and does not have a professional look like QBO.

A 4 year User!

My overall experience over the years has been 10/10, highly recommend

Pros

The ability to discuss upgrades. The service, online tutorials and upgrades to the mobile app.

We can sign documents , pull transcripts, upload documents, schedule appointments

Cons

We wish we could monthly payments. Also the price to add additional users or admin makes it more expensive for a solo proneur.

Everything You Need in One Place!

I have been with TD for at least 3 years now. Being able to invoice, provide documents and request e-signature, as well as store all information (with or without client access) is a game-changer for my firm.

Pros

Linking invoice to document to be paid before client has access to documents

Cons

I would love to have a button within the client's portal to initiate a scan for upload to the portal. Right now I have to scan a document to a file on my computer then initiate the upload.

Perfect for the full service firm.

It has saved my bacon more time than I can count because it manages projects and keeps 95% of client communications in the platform, allowing the team to see and access each client's info anytime.

Pros

It's as close to an all-in-one solution as I can find. While it is great for taxes it is also great for bookkeeping, payroll, and monthly services.

Cons

I wish you could port your existing phone number into the system.

Converting to Tax Dome - a user's experience

While the setup for the various features of the program has taken a bit longer than expected the experience as we and our clients begin to utilize the program has been positive. Those clients that have utilized the program so far have indicated a much higher satisfaction and intuitive use of the program compared to our prior web portal, document management program.

Pros

The combination of web portal with a built-in client scanner, document management, workflow management, client communications, client billings and electronic signature combines all of the necessary features required for a modern electronic or virtual tax or accounting based practice.

Cons

The program is such a large sandbox, it would have been more efficiently incorporated into our practice if a structured and required training program was included with the subscription.

TaxDome Review

Client for I believe 4 years now. Overall satisfied.

Pros

I like the flexibility of document exchanges and conversations with clients.

Cons

The training needs to be more robust. Also, I think the SMS system was oversold, and should be included in the package not as an additional subscription.

Fantastic! Real solution thats multi-featured for accounting firms

Fantastic! Highly supported program that is constantly being updated and improved based on actual user feedback. Use it daily in my business and honestly would need 12 programs to replace all the things it does for me and my team.

Pros

Has multiple features in one software so not constantly logging in, or updating integrations with other platforms. Also saves on cost by having one integrated system for 99% of what my accounting firm needs. Clients also give great feedback on ease of use and having everything in one place.

Cons

It is a big software product so feels hard to learn. Like any large business application, reaching out to their support desk and 1:1 whiteglove custom training sessions allows me to setup features I needed for my business in stages without being overwhelmed

Great tool for your practice

Overall it's been a great tool and I'm glad that I chose TaxDome as my client management system for my tax practice.

Pros

Tax Dome is a great product that is constantly making updates that are beneficial to those in the industry. It really has become a solution to minimize having multiple applications and can do most within it.

Cons

Last year, I felt like there were too many changes that weren't fully tested out and lots of bugs. I had issues with the organizer function among some other things. I would like to see more of these issues worked out before giving it to us to use because it impacts our clients experience.

TaxDome helped me to organize

It has really helped organize my clients.

Pros

I like how everything is available to the client in the portal. Also, the pipelines are great, it is very customizable!

Cons

Little bit of a learning curve, but that is the same with any software.

Best in show for CRM and workflow management

Overall, this platform is the best price point for my CRM needs. It takes some time to get familiar with, but with the marketplace, if you're completely new you can just get right into it with a built-for-you workflow.

Pros

Flexibility to create workflows that work for my firm as well as the ability to lock invoices to the returns.

Cons

The site builder. I really want to use it but it's features are VERY clunky. I always have issues with spacing and sizing as I try to re-adjust things. I also dislike when new additions are rolled out in the middle of tax season.

Platform is great!!

I have enjoyed my time using TaxDome and watching the growth and positive changes that have been implemented.

Pros

You can see all activities associated to a job in on screen.

Cons

I wish the calendar would sync to your personal calendar for appts and specific task, not all task.

Overall great product

Good. Their customer service is excellent.

Pros

The automations and having the information for all open jobs easily accessible and manageable. It has helped us to be much more efficient and fewer things slip through the cracks.

I have used TaxDome for over 3 years and it has helped me grow as my client list and my employee numbers grew. I can't keep it all in my head and I don't have to with TaxDome. I also like knowing my clients' data is safe.

Pros

The integration of Secure Document Storage, Secure Communications with my clients as well as being able to use as a CRM.

Cons

Lack of Packages in the Engagement Letter/Proposal section.

TaxDome has made my life easier!

Overall, I am really happy with TaxDome! They are great to deal with and the are always improving the software. I highly recommend them!

Pros

I love the workflow feature and the ability for firm automation. It is easy for the clients to use and it allows for a great client experience.

Cons

It takes time to set it up when you begin. The implementation progress can be overwhelming but TaxDome has great technical support to help you with it.

3 year user of TaxDome - we love it

We are extremely happy with TaxDome (TD). TD listens to it's users and makes adjustments based upon requests. Love that. We bought it at the end of 2021 and have seen changes in the software (for the good) since then.
The true key to it being a success is to constantly use it. Kind of like that piece of exercise equipment in your basement. Don't blame it for you not losing weight if you don't use it. Use TD as much as you can and you'll appreciate the efficiency of what it does.
TD offers a lot and our clients seem to like it. We have about 1,100 client now so it comes in REALLY handy. Like everyone else, we have clients in their 70's, 80's (even 90's) who love it and use it just fine. But we also have clients in their 20's, 30's & 40's who find it "confusing".
Bottom line is do what works for you and your firm. Because the way you process returns is different than me. So don't copy someone else's Workflow but instead create you own!

Pros

that it does things I didn't even know were a good idea. such as locking a tax return to an invoice. Cool!
We also love the Workflows. That feature should be a necessity in every tax preparation firms arsenal.

Cons

Nothing I liked least BUT I will say, for us at least, it was like moving from a small Cessna plane to a Lear Jet. Holy smokes, the bells and whistles and things it can do require time to learn/use it. Point being, you're not gonna be a TaxDome pro the first year. Give it a few years.

TaxDome feedback

Improved efficiency and client satisfaction. Clients like to use the app.

Pros

workflow process, communication and document sharing capability, billing and invoicing

Cons

Folder structure is cluttered, makes it very confusing between files shared by client vs. documents shared with client vs. private for any specific tax year. Need to go to three different directories to view files. Would be great if there is an ability to flat the structure by tax year so that I can see all files in a single directory for a specific tax year.
Would be helpful to preload new tax year folder in the beginning of the year. For example, I have to manually create 2024 folders for each client that I am doing 2024 work, such as estimated tax payments, sales tax or payroll tax.
Ability to backup all data from network drive to hard drive. For example, most recently there has been internet outage in my area for almost 24 hours and I was not able to be productive as access to network drive was severed.

As far as folder structure - you can set whatever you want it to be. It sounds like you’re referring to the default template, but you can customize your folder templates as much as you want - so if you want to create a folder template by years, you can certainly do that! TaxDome is the best tax CRM out there.

cant live with it at this point. 2024 is the first year we have a team in taxdome, so trying to figure the optimal way for a team environment

Pros

the automations, pipelines, ease of keeping everything in one place.

Cons

1. Unable to schedule chats. I work odd hours and I have to wait until the morning to send client communication and sometimes I forget. It would be great to schedule chats at a future date similar to scheduling emails.
2. TaxDome Inbox+. right now its mainly just a notification box tailored to one person. It would be great to have a Firm inbox+ and being able to assign tasks directly taxdome inbox to staff.
3. Round robin feature when a job enters a stage in a pipeline. For example "begin tax prep" there are 4 tax preparers its assigned to, but only 1 needs to complete it. Then we have to communicate outside of taxdome to see who is taking the task (client tax prep)
