Adaptable AP Software with Incredible Customer Service

Our accounts payable, procurement, and payment processes were all very manual and as our company begins to scale and grow this was becoming a burden on our accounts payable clerk of 11 years who was stressed and looking for greater career progression. As I dug into the cost benefit analysis I saw that any AP software would save the company a chunk of change as quantified in personnel time and opportunity cost of the endless other processes that need closer attention and improvement. Having implemented Stampli at a prior company I was especially impressed the second go-around with their desire to win our company as a client in the procurement phase, especially with making their pricing more competitive and now in the implementation and troubleshooting phase where their team members are always willing to help and customize a solution if there isn't one.

Pros

When doing software procurement, above price and features is the adaptability or customizability of the software to specific use cases within your industry and company. I specialize in improving processes and at times that includes implementing software solutions; with Stampli they were able to customize integration with our ERP system to allow us to track and better report fiber line buildout without any additional or duplicative work within the ERP system. Within the features, I also saw potential to use Stampli for procurement request workflows in addition to invoice approval workflows and the staff was excited to see that new use of their software and are currently looking to make their software more friendly and usable for that use case. So, adaptability is what I like most about this software. Close second is the customer service. You can tell when a company has good culture and treats their employees well when their employees are helpful and go above and beyond to help you and your company out. I had this experience with their employees from procurement of the software (Stampli was competing against two other companies Tipalti and Bill.com) to implementation and currently with troubleshooting issues. Their staff is responsive and if they don't have a current solution look for ways to adapt their software to meet your needs.

Cons

The payments piece of the software could improve in their identification of payment export errors. They're very general and force you to pay vendors in smaller batches of invoices (for some context we get maybe 130 invoices weekly from our general contractors) where it's easier for you to troubleshoot the problem invoices. I spent an entire afternoon and well into the night trying to find the problem invoice that was holding the batch of 80 or so invoice up for payment and it wasn't pleasant. If the payment export errors could identify problem invoices in the payment batch that would save a LOT of headache and worry on the payment side when your processing a large number of invoice for payment. Also, mentioned before if there could be cleaner data from the advanced search export spreadsheets that would help make data extraction a lot more accessible to users without any sort of data cleaning needed.

In the procurement of any software, before price and features is the adaptability of the product to meet our company needs. In consideration of Stampli, Tiapalti (and Tipalti Approve for procurement workflows), and Bill.com I felt that Stampli was the most adaptable and had a customer success team that was willing to help our team make the implementation and customizations at the pace we needed. Bill.com is a huge company and I got the feeling that they were too rigid and what you got in the software is what you got and I didn't believe their customer success teams would give us the attention or be as responsive as we needed them to be. Tipalti was fantastic to work with in the procurement process and seemed to have a customer success team that I daresay is on par or better than Stampli but their product, implementation, and adaptability timeline was too rigid and long (which I can understand from a process standpoint and have respect for) but wouldn't have been able to customize with their development team to what we need in fiber buildout footprint tracking for example because they're slower and more methodical (which again I respect). Stampli actively seeks out feedback from users and implements new features and seems a bit more of a risk taker in developing its product which is a little bit more my speed. Finally, having worked with Stampli before I had a peace of mind of knowing what I was getting and that I could lead the charge on implementation and troubleshooting.

Stampli is easy to use and set up and provides necessary controls

We were able to go paperless pretty much overnight and implement controls on payables.

Pros

The best part of implementing Stampli was being able to go to a paperless environment so quickly.

Cons

Nothing really, everything has worked really well.

Hundreds Done Fast & Easy

Pros

The ease of coding hundreds of invoices a day, the "Billy Bot" being able to auto populate multiple fields makes repetitive invoices a breeze. Being able to track where an invoice is with every step being recorded from the moment it is put into the system is great.

Cons

Sometimes the auto-population is wrong if the vendors being used are similar style invoices.

Best among the rest

The experience of using the Stampli as a tool is extremely fantastic and easy which gives us the invoice tracking and invoice management also the duplicate invoices are not entered easily it gives a pop up for the same

Pros

Best for the multiple level and multiple currency entity which we are using in our company .The Authorization of payment is very safe and also the invoice processing and approving is easy and understandable by all even the freshers as well

Cons

The Audit trail sometimes gives the inappropriate data also the edit option after we send the invoice to next approver's queue is not enables which make things difficult to edit and then the invoice can be edited only when the approver rejects the same and there are system error also sometimes

Simple yet effective

Stampli solved our issue of not getting each invoice approved by a manager, within the first month we had caught several invoices that should not have been paid whereas before Stampli they could have been paid without proper approvals.

Pros

Stampli allowed us to move our AP process paperless in the matter of 1 day! It was simple to implement (literally 10 seconds to connect it to NetSuite, plus a couple of minutes for it to download the vendor and item lists) and it is simple to use (as noted by the majority of the approvers). Stampli also has SSO log-in which means our users do not need to remember another password.

Cons

The customer service support opens at 9 AM EST, this in itself isn't terrible but our staff is already at work well before that so if we run into issues we have to wait before someone can look at them. Stampli is not very customizable (as we are used to in NetSuite) but the customer support is there to help us through and to submit new tickets for us.

The one-stop shop for all business invoicing management needs

Using this resource has provided us with several advantages. To begin with, it has streamlined and automated the invoice management process, which has cut down on the effort and resources needed for invoice management that was previously done manually. Second, it allowed for better monitoring and control of cash flow, leading to better financial decision-making. Finally, the platform's cutting-edge capabilities, such as automatically detecting and fixing invoice problems, have increased the company's productivity.

Pros

My company has been using it for invoicing administration for the past few months, which has been an enormous help. This product has been a massive win for us, from its seamless interface with our accounting software to its straightforward invoicing approval process. Its clear, user-friendly interface and exceptionally detailed layout make managing invoices a breeze. We now have more control over our budget and greater operational efficiency thanks to the system's ability to display invoices awaiting approval, monitor overdue invoices, and provide instant access to all invoices that have been approved.

Cons

Although it is undeniably helpful as an invoice management tool, it does have certain restrictions. One of these is customer service since getting in touch with the team and having questions answered quickly might be challenging. Furthermore, additional technical knowledge or the assistance of an IT specialist is required to integrate it with external accounting systems.

Great customer service and extremely user friendly software!

My experience with Stampli has been excellent! They have provided answers to any questions that I have had and always give me solutions for any issues very quickly. They have superb customer service and the software is extremely user friendly!

Stampli makes invoice processing so easy!

Pros

I like the drag and drop feature and batch upload. I'm able to go through task much faster. I also like the reminders about invoices I have in my queue.

Cons

Sometimes it not consistent on reading the codes. For example, if I do multpiple uploads of the same vendor, sometime it will read the coding and sometimes it won't, even if the invoice looks identical.

Stampli - Great AP Automation, you should give it a try!

Stampli is...superior!

We used to forward, and email invoices to managers for approval, and Stampli has automated that process. Stampli also exports the information directly to NetSuite, saving exorbitant time on data entry.

Pros

The automatic coding of GL accounts; the ability to create an approval workflow based on levels of authority and dollar limits; the approval routing itself; the reporting. Also, no more paperwork! Digital copies are all available for audit purposes.

Cons

Some directors would like certain staff to review an invoice prior to approving, but we cannot have all staff as users (without being charged).

A smart solution for efficiently processing invoices, and transparently tracking approvals

Thanks to Stampli, we have been able to process invoices efficiently while significantly reducing the need for manual data entry. The tracking of approvals has become more transparent, and we have access to reports that enable us to clarify all account details with a high degree of accuracy.

Pros

Stampli makes it incredibly easy to reconcile and closely monitor all invoices in real-time while also ensuring timely approvals. The approval process is not only efficient but also highly accurate, with the added benefit of a feedback section that enhances accountability. With Stampli, it's possible to extract invoice data and match it with relevant purchase orders and receipts seamlessly. Thanks to the complete digitization of invoices and the elimination of paper copies, we've been able to eradicate manual data entry altogether. The central dashboard is yet another powerful feature that enables us to manage and track invoices with ease, providing instant visibility into the status of account.

Cons

There is little to dislike about Stampli, particularly due to its robust AI capabilities that enable efficient reduction of scanning time and ensure accurate matching of purchase orders with incoming invoices.

We Love Stampli!

We solved our issues getting invoices to employees for approval. Stampli sped up the process and made it much easier to manage. We also were able to make the information available to staff at all times.

Pros

Stampli is so user friendly that implementation was not an issue. The setup was easy and straightforward. We have been using the program for a few years and it has saved us so much time and headaches. We streamlined our approval process and made our payables more transparent to roles that didn't have access to information previously.

Cons

There have been workarounds that we have created any time there was something missing from the product. Over the years there have been features added that have eliminated the workarounds. Stampli is always improving!

Automate AP Processing

With all new software it is trial and error until you get the hang of it. Once we worked out all the bugs it has been fabulous. Probably mostly our fault.

Pros

The fact that our AP is now automated and the audit trail that is has.

Cons

When replacing an original document on an invoice it takes 2 tries to get it to attach and it removes all prior approvals.

Best thing to happen to Accounts Payables

Pros

I love how easy and efficient Stampli has made out A/P process. It has cut back 80% of our processing time and significantly improved our accuracy.

Cons

Not that many things to improve other than splitting invoices across multiple locations. However, this was not a deal breaker for us.

Stampli COULD be great

So the software works really well, but it could use some improvements. Approval chain and review of invoices and being able to send back to coder is not intuitive and causes a lot of manual work. There is also ZERO reporting. All of our reporting has to be done manually. We've asked Stampli to help us but they've been unwilling to help.

Pros

Simple to use and implement. We were able to provide the teams with Excel spreadsheets of how we wanted the back end of the system to be set up and they were able to accommodate. The sync with Intacct is also awesome. It's automatic or we can push when needed

Cons

Reporting. There is none. When asking for custom reporting from the Stampli staff, we've been given the runaround for over a year.

It improves firms' financial management.

Stampli has improved our invoice processing skills and efficiency because all activities are done on one platform and are easy to follow, saving us time and effort.

Pros

Emailing and recording invoices with Stampli is wonderful. This lets us approve bills, get approvals, and add them to the records without waiting for the physical copy, which can take days or weeks. I appreciate how Stampli's superior automation has streamlined and streamlined fully automated AP processing. I enjoy Stampli's search and filter capabilities, which allow us to search numerous databases and retrieve the invoices we need, and the convenience of editing fields and exporting and importing reports.

Cons

Since utilizing Stampli, I've had no technical issues because the tools are straightforward to use and the support crew is responsive.

Stampli Review

Using Stampli is great, our business has it tied in to another software we use.

Pros

I like the ability to filter my invoicing history. I can see status updates on invoices in progress. It also helps our team communicate on specific invoices and records, making it great to cut back on all the emails.

Cons

I sometime have a hard time filtering out duplicate invoices. I'm not sure if there is a method to "hide" these invoice statuses.

I use Stampli daily and think it is a great software

Much better than our previous system

Beautiful. So much better than our old system of sending invoices into the accounting void and hoping things would just work out.

Pros

I really appreciate the speed at which invoices are sent to me through Stampli after I've sent them to accounting. I also love the ability to check invoice history. It's super helpful to be able to check items/pay rates for consistency. I also really appreciate being able to bump invoices to other team members for approval/questions. Prior, it was a lot more work to follow up with other employees.

Cons

Nothing yet. I'd say the site is sometimes a bit slow to load, but I'll take that.

Super easy to use!

We are saving time and keeping track of invoices much better by using Stampli.

Pros

Integration was easy and we haven't had any problems with this software. The features are simple and helpful. It's great that you can attach proof of receipt and send questions to other users.

Cons

There are times when I wish it was easier to search for invoices from a certain vendor when I am reconciling.

Review

Good but the credit memos are horrible and very time consuming

Pros

Finding invoices and the quickness of everything at your fingertips.

Cons

The credit memo section
It takes forever for vendors to get ACH payments and they actually get checks quicker.
Cant have more than two approvers on a check, we would like more.

Stamply, simply the best!

Pros

Implementation process takes minutes, training is provided by the vendor, we have received a great feedback fro internal and external people and the customer service is very efficient. Saves you money and time.

Nothing really, system does what we expect it to do.
