One of the Best Accounting Software for Small to Mid-sized businesses

Quickbooks online is our main tool and resource to have a quick snapshot of our accounting, sales, taxes, and profit/loss reports. Also, Quickbooks is our invoicing software and CRM.

Pros

The onboarding and migration of our company data from an offline software to Quickbooks Online was way faster than we expected. Aside from that, QuickBooks has been our main and preferred accounting and invoicing tool since 2018.

Cons

I believe Quickbooks Online reports are not that customizable like the offline Quickbooks versions. Also, there are differences managing multiple companies. We need to create and buy separate Quickbooks Online accounts for each of our companies and with the offline versions we just had to buy one set of licenses, that allowed us to manage multiple company files.

Reasons for Choosing Quickbooks Online

I believe Quickbooks Online has more features that we need to manage our entire business than Xero. I think Xero focuses more on accounting.

It is very beneficial and affordable for small business owners who need an efficient solution to analyze the financial condition of their business and work with external parties to deliver reports.

Its okay to use but missing features and times its very slow.

We needed an online version to invoice our clients when onsite which helps in productivity. We like the overall dashboard of how we are doing for the month. We don't like why its sooooo slow and what we get for the costs of the product.

Pros

that we can use the software in the field while invoicing our clients.

Cons

Its overall slow to switch between screens and you can't have multiple screens open like you can with the desktop version.

QuickBooks is a great remote accounting solution

QuickBooks Online has been crucial in our company's expansion because it allows for several individuals to view the data at once. When we were still using the desktop client, we had to be extra vigilant about who was making changes and at what times. The following day, you can find that everything you've done has been completely overwritten. We've got that sorted up now thanks to QB Online.

Pros

It's great that we can sign in from any of our devices, wherever in the world. The ability to collaborate in the software at the same time without accidentally erasing one another's changes has been crucial to our development.

Cons

The only drawback, in my opinion, is that it is available exclusively online. If you don't have internet access, or if your connection is unreliable, you might as well be out of luck. At times, the system appears to be slow, but this isn't a problem we can't solve.

Easy to Use. Quick Setup.

Pros

I really enjoy not having to think when using my online payroll and financing system. Once you have everything set up, it pretty much runs itself. On top of that, Quickbooks is a one-stop shop for everything that I could think of regarding my business finances.

Cons

The only thing that I wish was better was the ease of payroll and W2. It takes some getting used to. Also, being a one-stop shop and including the ability for small businesses to get insurance for their employees would be a nice feature to add.

Quickbooks needs to work with some younger accountants and revamp some of the features

Unfortunately, the reconciliation process drove me mad, and I have changed the software. I now have a more user-friendly reconciliation.

Pros

Invoicing and payment features are great. Bank links are now an essential feature for most businesses.

Cons

The reconciliation is the worst. There are too many steps, other software companies have created a one-step feature.

Every small businesses needs this best friend.

From using Quickbooks Desktop 8 years ago to starting up our business again and using Quickbooks Online for the past 2 years - the experience has been fabulous.

Pros

Quickbooks has thought of just about every aspect of managing a small business. Any feature they may have not thought of, they listen well to their customers and try to help implement in future versions and updates. Customer service is off the charts with QBO. I have never had a question they couldn't help me with and they offer more services than I knew to ask for. Whether you want to keep it simple or get as detailed as possible, Quickbooks Online is there to help!

Cons

Nothing has been a difficulty implementing, integrating, or using on a daily basis. Any questions I have, there are plenty of helpful tips online or just reach out via chat or phone and customer services has always helped!

Quickbooks Online is Awesome!

Pros

I think the downloaded bank feeds is the best feature of QB online. It makes bookkeeping so much easier and greatly increases the accuracy of the data that a person would manually enter.

Cons

I can't think of anything I like the lease about QB online. I'm not thrilled with the changes to payroll entry. I have not consulted them on this but when I select an employee to enter payroll, it opens that employee record but it jumps to another area of the screen causing me to have to scroll to find the employee. Not sure if it's a glitch because it doesn't happen every time. Also, sometimes when adding and connecting a new bank feed, it doesn't always connect the first time. To be fair, this could be on the bank website and not QB so it's just a minor inconvenience. For the most part, QB online is really great!

Industry Standart for Accounting

It is easy get to know the general logic how this software is running. they improve it constantly. I believe it will keep its leadership.

Pros

Easy to use, easy to reach documentation and big user group with fast support. you can find your solution to your business specific problems.

Cons

Still lots of features are missing. Biggest one is lack of mass editing attributes of products. you have to edit each of them to change price or tax status. Also mobile app is like garbage. less than 10% of features exist at mobile app and web page is not mobile browser friendly.

Get your Finances in Order Quickly!

Quickbooks Online has been a wonderful software to take my small business accounting to the next level! There is a bit of a learning curve to set up the customizable software and maximize it's use for your business. Once it's set, accounting is easy and quick. Running reports takes 5 seconds and you have all your accounting information at your fingertips with the mobile app!

Pros

Ability to access from anywhere! On my computer, on my phone, in the car, wherever I need it!

Quick mobile receipt upload from your phone or computer! This allows me to quickly scan gas receipts or upload online purchase receipts to Quickbooks Online. Gone are the days of saying "what was that purchase for?" Not only can you upload receipts but they automatically tie to the bank account import.

Easy to create reports! Ability to compare month to month or year to year. Can break down by categories or tags.

Tax time made easy! My accountant had all the information they needed. I can link accountants to my Quickbooks Online so they can assist with quarterly payments, general questions via email/online or bookkeeping.

Cons

Quickbooks Online has a little bit of a learning curve. Since I had no prior experience with a formal accounting system, I signed up to add one of their pros to walk me through set up upon purchase. They helped get the bank account integrated and get everything moving the right direction.

Due to the learning curve, there are plenty of resources online or within business organizations that can walk you through the ins and outs. Quickbooks Online is very customizable, but getting those custom items set up can feel overwhelming.

The Best Accounting Software For Small Businesses!

Overall I love Quickbooks Online and recommend it to all small business owners that I know! It's been a huge help for my business in getting our accounting organized, without having to hire a book keeper. Invoicing has never been easier, as it keeping track of income and expenses. It's perfect at tax time and helps keep us on track to get as many deductions as possible. It's simply the best of it's class...

Pros

The interface of Quickbooks Online couldn't be better. It easily links to your bank accounts and starts to understand your accounting categories right away. It's super customizable and the features are in depth and thorough. I love how intuitive (no pun intended) the software is overall. It's also great that it's online so you can login from anywhere, including on an app, to track everything.

Cons

The only real limitation I can think of with the software, is sometimes weird errors can happen with your balance sheet / income statements. Everything really needs to be exactly dialed in , otherwise errors can happen and throw things off. While this is probably due to human error, for someone like me who is not an accounting expert, this can be frustrating to figure out where things went wrong...

I LOVED THE OLDER VERSION. New version, not so much. So we switched.

Pros

Biggest Pro: This is built for robust accounting. The older version of Quickbooks online for Mac included an app. That app was key because the browser version often took a long time to load. I could get in, out , and be done in minutes. There was even a time tracking technology that was integrated at the time that was included in the package for free. It was great... and then it all changed.

Cons

I don't love the new browser only experience. It wasn't as seamless as the app. The time tracking is now $$$.

QBO Accountant

Overall, I am happy with the product. they also have live chat now, and they can call you if you need to talk to someone. Customer service definitely is great improvement over the years. It is big for me because I refuse to work with any software company that I cannot talk to anyone (hint hint Zenefits). And most of the time they get it resolved over the chat. Recommended

Pros

Love the bank matching function, makes the bank reconciliation 10x better if you do it right. It's very easy to navigate the system, for beginners, it's the easiest system I used so far for them to pick up. Make sure if you set up, you don't use the simple cheapest version if you own a business tho, it's cheaper but the reporting is not as good as essential and above. I have implemented qbo for all my small clients that doesn't need a big system for POs

Cons

I have mixed feeling about the auto categorization, some bookkeepers gets lazy and thinks it's correct and just click add, which half of the time can be wrong especially when it comes to use project and classes. it's a great function to make our lives easier, but also makes people lazier. I made sure to train my employees to not get lazy and check every transaction

Lesser of two evils

Pros

I am not an accounting professional but with a basic understanding of accounting principal, I have been able to use this software to organize my company for the last 10 years. I have made the switch in 2014 to the online version of it. It lets me to use the software anywhere including mobile device and I have been very happy with all the updates Intuit has been making last 3-4 years.

Cons

Everything about customer service. As a long time user, I know the infamous reputation of Intuit at every level. This is one of the SO MANY experiences I had: I had one issue that persisted since 2014. It was a simple issue, but it also caused me some great inconvenience. So I had been contacting them every now and then and the issue was not resolved until recently in 2018. It turned out to be it was as simple as clearing cache. However, every time I called, I had to explain the situation as if it's never been recorded, follow their instruction to do the troubleshooting, then they were puzzled how that happened, and then say that 'someone' will follow up. And THAT NEVER HAPPENED. I got so fed up and had to be on the phone more than 4 hours to a point that the issue was escalated to the presidents' office. I was told that there was a glitch in the system that I had to move to a new account. As they moved my data to a new account, I found out that it won't move credit card or social security info. As I was preparing for the final move, I realized that they have been charging me double. I requested to refund or extend the membership, but they did it again - made me wait for 1-2 hours, told me that I'll speak to a floor manager, then just transfer to another dpt- ALL THE TACTICS TO DISCOURAGE TO find the solution for the issue. Finally, they 'concluded' not to extend the membership with an excused made up they cannot provide in written permission. NEVER HAD SUCH BAD EXPERIENCE.

Complicated

Overall I would say QuickBooks is more of a software made for people who don't know much about accounting. In that sense I would say it is very user friendly for those people. However when you put an accountant in front of this software my first questions were: "Where is accounts payable?" "Where is accounts receivable?" "Where is the general ledger?" These things just aren't marked that way. My first confusion was entering in invoices. Now usually this would be an expense but if you enter it in as an expense in QB it's really accounts receivable and you'll have to enter it in as a bill. Also one of the most confusing parts is keeping up with daily reports. Now I do understand that not every type of business needs to be doing this but in the hospitality business this is a requirement. This software makes it very easy to skip past a day and do other days and it will constantly change the "number" you had named the previous day. I find this slightly annoying and confusing. Sometimes I just don't remember what day I am on or what day I am missing simply because I can skip forward days (which can be nice). My overall opinion is slightly indifferent I would honestly rather only work with M3 only because QB runs slow. I think if it ran more smoothly I think I wouldn't mind working with it but it gives me a headache of how long stuff needs to load and get errors because it can't load all my properties at once.

Pros

What I liked most about this software was that you can connect the bank account to the property. This way it makes managing money and bank recons so much easier and faster. I also enjoy that I can easily delete and edit invoices or journal entries. This is sometimes a con as well. It all depends on if you know you won't accidentally click on something you shouldn't. I also like that I can easily enter in invoices and other things just by clicking on the + button.

Cons

My least favorite thing about this software is that the longer it is up the slower it gets for me. I am not sure if this is just my problem but we do also use M3 (another accounting system) and it never slows down for me no matter how long it is up for or what I'm doing. Of course it will take some time to load your first selection but runs super smoothly after. I am very disappointed at how slow this software runs for me. I am also not a huge fan of the layout of invoices and checks written. Looks slightly disorganized in my view.

Quickbooks offers an elegant handling of non-profits

From quickbooks we have liked a lot of functions. Among them are the fact of being able to manage accounting projects (with billing system included) and be able to manage payroll. In this sense, you can even create invoices, which is convenient. The negotiation process facilitated by quickbooks has turned out to be something wonderful. It does not take long, and they are flexible with the terms of service. The display demonstrated by the capacity of quickbooks has turned out to be surprising in all the occasions in which we have used it. Is very large. The quickbooks sales team was responsible for responding adequately to all our doubts about the use of the service. Respond quickly to the needs of customers.

Pros

Your invoice templates are very customizable. It is good for keeping the accounts of non-profit organizations, because it has tools for both bank reconciliation and fund accounting. Quickbooks offers a good system of payroll transfers, very stable. Quickbooks has helped us a lot with the management of resource accounting throughout our history as a business. It is ideal when it comes to organizing economically, and to put together budgets. Its integration with the Microsoft Outlook platform is recommended.

Cons

The platform does not allow managing sales forecasts, or managing human resources. In this area there is no tracking system for absences, wage garnishments, and unforeseen expenses billing. Neither can you process payments, taxes, or fixed assets. Does not have a treasury management function.

Response from Intuit

I'm happily married to QuickBooks

I think the future is digital and it's time that we all dropped our fear and start keeping our records online.

It’s very possible that your hard disk could crash but Quickbooks will still be there storing your records.

I recommend Quick books to small and medium-sized companies.

Pros

Before I began using QuickBooks, my biggest fear was that we were going to entrust a cloud with our money.

Personally, I was hesitant for a long time and so was my company. But after that, we decided to take a leap of faith and use QuickBooks. We’ve been happily married to this software ever after.

So here is why I like QuickBooks

It’s invoicing feature is amazing. The feature automatically invoices our customers and brilliantly matches the invoices to the customers.

Quickbooks takes payments, bills and compiles reports for everything

And while Quickbooks is doing this, everyone on the accounting team accesses it with ease.

Cons

Quickbooks crashes a lot and limits access to a few number of people. That's why I don't recommend it to big firms.

Response from Intuit

Hi Jimmy. We're so glad you decided to give QuickBooks a chance. It's wonderful to hear you're enjoying it for your business needs. Storing data on cloud storage can be daunting which is why security is our top priority. More information on how we protect your data can be found here: https://security.intuit.com/index.php

The great part of our online product is the variety of subscriptions offered that can be used by different sized companies. We recently introduced a new level called QuickBooks Online Advanced (https://quickbooks.intuit.com/blog/whats-new/quickbooks-online-advanced-growing-with-and-for-our-customers/) which allows up to 25 users and has new features to help run a larger company.

Thank you for taking the time to write a review and welcome to the QuickBooks family!

Bookkeeping software for dummies like me

do it myself bookkeeping

Pros

I was able to get up and running with bookkeeping quite quickly; I expected it to be difficult since I had no knowledge of bookkeeping, but it wasn't. I have used it to run payroll, send invoices, manage expenses, receive payment, etc and find it all to be very intuitive.

Cons

For my web design business, Quickbooks is all I need as a bookkeeping software. But for my husband's trucking business, it just lacks some necessary functionality and we found a more elaborate tool was needed ... which was too difficult for me to figure out, so for his business we had to outsource the bookkeeping. But I still use Quickbooks Online for my own more basic business.
I find the desktop app that you can install (to connect to the online version) is often unstable and becomes unresponsive. I also find that there is confusion between my Quickbooks Online account and my TurboTax account (both are made by Intuit), when I change my password for one, it changes my password at the other site as well .... weird and took me a number of lockouts to figure out what was happening. Best to use separate email addresses for each of the tools I think.

Response from Intuit

Hi Teara. Thanks a ton for your expert insights, and your review. You're correct that changing your password for one product will affect it across others. If your user ID is the same for each log-in, this feature is designed to help streamline logging in. As an added layer of security, we offer multi-factor authentication so your info is safeguarded.

As for instability in the desktop app, you can easily solve these issues by clearing the cache. After logging in, select Help > Reset App Data and you'll be good to go.

Should you guys have any questions about the functionality missing for your husband's trucking company, feel more than welcome to email me directly ([email protected]). I'd be glad to discuss your options in that respect and look forward to hearing from you both. In the meantime, I encourage you to swing by our Resource Center (https://intuit.me/2rI3OKd), where you'll find walk-through guides and tutorials for working in QuickBooks.

Use QuickBooks to feel Empowered and Efficient while running your business

As an ASL Interpreter, I met many self-employed freelancers in my field. I was very apprehensive about transitioning from staff employment to self-employment. Luckily, I decided to try the Self-Employed option through Quickbooks. It's been a great experience. As a "first generation freelancer", I depend daily on the tracking tools that QuickBooks provides. Before, I faced daily anxieties about whether or not I was documenting my expenses and mileage correctly. Now, I track this information confidently with Quickbooks, and am able to spend more of my cognitive and emotional energy on my actual work and passions.

Pros

I mostly use the "QuickBooks:Self-Employed" features of this software. I love the versatility with the mileage tracker that allows me either to have trips automatically tracked or to add and delete trips on my own. Living in a metropolitan area, the mileage tracker will sometimes count rides on public transportation as a car ride. I'm easily able to delete that trip and also check on my transactions to make sure that the money spent on transportation is documented appropriately as business or personal.
One of my VERY favorite features are under the "Reports" section. I love the ability to get a preview of what kind of information I'll be sharing at tax time. I can download an excel spreadsheet that breaks down all of my Schedule C Transactions as a different page for each category (assets, meals, etc.). Before I started using Quickbooks, I didn't even know what most of these terms event meant! Now I'm able to work more freely and confidently as a "first generation freelancer".

Cons

When manually adding a trip to the mileage section, you are able to input the beginning address and the end address. However, QuickBooks does not have a feature that will calculate the miles between those addresses. As of now, I have to go back to my Google Maps app to see what the number of miles were. It makes the experience less fluid.

Peak Performance

Quickbooks Online sets the gold standard when it comes to accounting software. The ability to track all income and expenses, and to be able to produce that data at any moment is critical to any business or organization. As a non-profit, we strive to produce a very specific budget each fiscal year. Quickbooks allows us to know at all times, how well we are following or facilitating that budget (are we sticking to the plan we set out with?). Quickbooks keeps us on track in every, single way, and transparent to our governing board of elders, giving peace of mind to those who donate to our non-profit organization. I have used Quickbooks Online (and prior to when it was available online) for quite some time with the same, or better, level of consistent performance. I don't ever plan to use anything else, and highly recommend Quickbooks Online.

Pros

I love the look and feel of Quickbooks Online. The program is easy to use and makes sense. I can quickly find the exact place I am seeking because the navigational tools are well-organized whether I am looking for expenses, income, or something very specific. I also love the input formats. Anytime input is involved, there is always a chance for human error. Quickbooks is quick to catch if I have input something incorrectly, or if I have forgotten a field altogether. I am comfortable knowing that I will be aware in the moment if something has not been input correctly, and I can fix it right then.

Cons

There are some features I just don't use because they do not apply to our organization, so I am not familiar with those.

Great accounting software for small & large businesses

I use QBO for my own tax practice bookkeeping as well as for my clients. I use it daily to keep up with my firm and my clients. We all use the bank feed to facilitate automatic entry of as much data as possible.

Pros

QBO allows users to easily enter their financial transactions. It even has the capability to enter most transactions for the user from the bank feed. You can let QBO import your bank activity and use rules that you set up to code the transactions appropriately. It makes reconciling your bank statement a complete breeze!

Cons

There are some issues with payroll that can only be corrected by calling in to Customer Support. I find this annoying when I personally know and understand how the correction needs to be made. I do, however, understand that not everyone understands the ramifications of making corrections.

Quickbooks Organizes Our Church's Finances

QuickBooks has made the financial experience for our church so much easier. It's super easy to create reports for board meetings and see where you are financially.

Pros

I love how it connects to your bank account and transfers all of the transactions to it. Being able to categorize every transaction makes things so much easier. No need to type everything in manually! Reconciling is a breeze!

Cons

There's a huge learning curve for this software. However, they have great customer support. In the beginning, I had to stay on the phone with them for a long time to learn how to use it. Sometimes, customer support doesn't know how to use the software specifically for your needs, but they usually do a great job!

Leaving After 15 Years Of Use

I have been using Quickbooks for 15 years and honestly it was all great up until about a year ago. And the only reason I kept using Quickbooks was because I didn't feel like transferring all my data to another platform and the mobile app. However, now the mobile app doesn't even work so I never use it, I am having to talk to a representative every other time I use Quickbooks because something else is wrong, and now not only is the monthly fee going up again, I am now getting charged more for transaction processing, and there are more and more fees for just moving money around.

Thankfully there is WaveApps and they are amazing. I have used them a LOT over the past year for my other businesses and they are amazing with excellent customer service and they are easy to get in touch with as well. The best part is they don't have a monthly subscription fee and their transaction processing fees are more reasonable.

With an option like that, and now their website is mobile friendly, I don't see how it makes sense to keep with Quickbooks.

Pros

I love that I can manage my books, invoices, payments, etc. from any device. I loved that in theory everything was connected and easy to use (more on this in the cons), I love the wide support and the massive community that uses Quickbooks so it was possible to find help on issues I had (not easy, but possible). Plus, I had been using them for so long it was all familiar.

Cons

- The customer service is terrible (I've had 1 good rep out of the 10-20 I've had to talk to)
- The app hardly works at all for me anymore, its always crashing, glitching, freezing, etc.
- The connections barely work and need fixing all the time
- The website is incredibly slow and also has a lot of bugs
- By far the worst for me has been the Quickbooks Cash and merchant services. Fees have been going up, Quickbooks cash has been VERY slow and buggy, transfers have taken a week or more to process, customer service with that is TERRIBLE, just overall a very bad experience.
- Now monthly fees are going up yet again
- I've been getting charged more and more fees for moving money or even just trying to refund someone
